What is the right format for my Excel file?

If you want to use your own file, please make sure that it matches the format shown below and that columns are named as follows for facilitating a correct recognition of your data. Cells must be formatted as "Text".

Feel free to ignore any columns (except the required "Address") which do not apply to your scenario. If you include a column that is completely empty, it will be ignored by the Viamente Route Planner.

Please also remember that Order details and parameters can be imported via Excel, whereas Drivers CANNOT be imported via Excel. They must be defined directly from within the Viamente Route Planner. Read how to create Drivers at this link.



 
Column Required Description
ADDRESS Required This field defines the address of the Order. The route for the Driver will include a stopover at this point.

Example:

Address: 755 AMSTERDAM AVE, 10025, NEW YORK CITY, NY, USA
Address: 40.79451,-73.97004 (i.e. "latitude,longitude" - if you want to use latitude/longitude coordinates)
Address: 755 AMSTERDAM AVE, 10025, NEW YORK CITY, NY, USA@40.79451,-73.97004 (if you want to use latitude/longitude coordinates but also have the actual address show)

Note: if addresses in your source data are split into subfields, you may also replace this field with the following columns: Street, ZIP, City, State, Country

Country: USA
NAME Optional This field is provided solely to help you identify the Order. It does not affect the optimization process.
SERVICE TIME Optional This numeric field indicates IN MINUTES the stop duration at this address.
"0" value is accepted (it means that the Driver will drive by the address of that Order without stopping). If this field is empty, you will be prompted to enter a Service Time which will be applied to all your Orders.

ELIGIBLE DAYS Optional When planning over multiple days, all days of the selected planning horizon are by default eligible for service. You can specify here if an Order can be served only on certain specific days.

Examples:

Eligible Days: 1
Eligible Days: 1,3
Eligible Days: 1-4,5-7

Please note that planning days are not linked to any calendar dates, but are to be considered in absolute terms. So for example, if you want to plan over the 15th, 16th, 17th and 18th of July, these dates will correspond to days from 1 to 4 (i.e. 15 July = 1, 16 July = 2, 17 July = 3, 18 July = 4).

Similarly, if your planning horizon spans from Thursday to Sunday, days will anyway be from 1 to 4 (i.e. Thursday = 1, Friday = 2, etc.)
 
TIME WINDOW START Optional Earliest time allowed for arriving at this Order/address.
Both the 12-hour (am/pm) and 24-hour (military) clock formats are supported. For values after midnight, add a (+1) at the end.

Examples of valid time formats are: 12:23am, 00:23, 3:56pm, 15:56, 3:56pm (+1), 15:56 (+1)
TIME WINDOW END Optional Latest time allowed for arriving at this Order/address.

TIME WINDOW 2 START
 
Optional You can set a second Time Window for Orders which can be served, for example, in the morning and in the afternoon but not during lunch break. This is the earliest a Driver can arrive at the address during the second possible Time Window.

Optional This is the latest a Driver can arrive at the address during the second possible Time Window.

ORDER TYPE

 
Optional By defining an Order as P (pick up) or D (delivery), you can make sure that the Route Planner never exceeds Load capacity values in case of routes which combine pick ups and drop offs.

If you have related pick ups and deliveries, define a unique ID which makes sure the pick up is served before the delivery and by the same Driver:

If the address is a pick up, write "P" and a numeric Order ID you choose, e.g. P1
If the address is a delivery, write "D" and replicate the ID of the corresponding pick up, e.g. D1
LOAD Optional* This numeric field indicates the load requirements for the Order, i.e. how many Load Units (Goods, Kgs, Pounds, Liters, Passengers, etc) should be delivered or picked up at the address.
* It is mandatory if one or more of your Drivers define a Maximum Load Capacity that is less than "unlimited".
LOAD 2 Optional* You can set a second value if there are multiple Load constraints
* It is mandatory if one or more of your Drivers define a Maximum Load Capacity 2 that is less than "unlimited".
LOAD 3 Optional You can set a third value if there are multiple Load constraints
* It is mandatory if one or more of your Drivers define a Maximum Load Capacity 3 that is less than "unlimited".
REQUIRED DRIVER Optional This is a numeric-value field which can be populated with a Driver's ID.
Setting this field forces this Order to be served by the Driver with the indicated ID. Driver ID values can be found by Driver names:

REQUIRED SKILLS Optional This field contains a comma-separated list of mandatory Driver skills. If set, only Drivers defining all the Skills in this list can serve the Order.

Examples:

Required Skills: install
Required Skills: repairs,maintenance
Required Skills: trailer,small truck
BANNED SKILLS Optional This field contains a comma-separated list of banned Driver skills. If set, Drivers defining one or more of the Skills listed here will NOT serve the Order. In case of conflicts, Banned Skills take precedence over Required Skills.

Examples:

Banned Skillsinstall
Banned Skillsrepairs,maintenance
Banned Skills: trailer,small truck
IMPORTANCE Optional Importance is only taken into account when resources/drivers are low and some Orders cannot be served: under such circumstances Orders with higher importance are preferred over lower-importance ones.

Accepted values are:
  • lowest
  • lower
  • normal
  • higher
  • highest

Any other value will be treated as "normal".
NOTES Optional You can write here notes or reminders for your Drivers
CUSTOM COLUMNS Optional You can also create up to 10 Custom columns, name them and populate them as you want ("Order n.", "Invoice n.", "Telephone", etc.).

Information in Custom columns will not affect the optimization process, but will be reported under the tab "Orders" and will also show in your Driver manifest when exporting optimized routes.
